Power BI is Microsoft's business intelligence tool: it turns data into interactive reports and dashboards. It connects to sources such as Excel, SQL Server, SharePoint or cloud services, refreshes the information automatically and publishes the results to the Power BI service, where the rest of the company views them from a browser or a phone. It's licensed per user per month, and companies can buy it through a Microsoft CSP partner like TecnetOne.
Power BI is billed as a subscription per user per month, and the amount depends on the plan: Pro for people who publish reports and Premium per user for large data models. The free license lets you build reports for personal use but not share them. At TecnetOne, we first count how many people publish and how many only view, because that's where the cost difference is. Dashboards are quoted separately as consulting hours, and quotes come in USD.
Pro lets you publish and share reports with other Pro users. Premium per user adds data models up to 100 GB, up to 48 refreshes a day and the features that used to exist only with dedicated capacity. If people with a free license need to view the reports, Premium per user isn't enough: that takes Microsoft Fabric capacity F64 or higher.
Microsoft stopped selling Power BI Premium P capacities to new customers, and Microsoft Fabric capacities took their place, purchased as a reserved F SKU or pay-as-you-go. If you have an active P capacity today, we help you work out which Fabric size matches what you use before anything moves.
It depends on where the reports live. If the workspace is on Fabric capacity F64 or higher, users with a free license can view them. Without that capacity, every person who opens a shared report needs their own Pro license. That calculation is usually what changes the cost of a project, and we do it before we quote.
The people who publish and share reports need Pro, or Premium per user if they work with large models or frequent refreshes. People who only view reports need Pro too, unless the reports live on Fabric capacity F64 or higher. Check Microsoft 365 E5 first: it already includes Pro. We map who creates and who views before we quote, so you only license what's used.
The license gives you the tool, and we activate it on your company's tenant.
